If you are a chair of a volunteer activity, there are additional functions that you can perform using the family web site:
These functions are in addition to those for all families, which are described in Introduction for Families.
If you are a chair of an activity, you will see a link to that activity at the bottom of the Family Information page when you log in:
In the case of this example, it is the "Spring Thank-you Picnic" link at the bottom of the page. Also notice that you have a "Chair" tab on every page. This takes you to your Chair page:
which also has links for all the activities that you chair. When you click on these links, it takes you to the Chair Page:
This shows you all the families that have volunteered for your activity at the top. The bottom of the page shows the status for your activity and its description.
To send an email message to your volunteers, click on the Send Email button of the Chair Page for your activity:
Each volunteer family is shown in a check box. There are links on the left: "All" checks all the families and "None" clears all the check boxes. If you move the computer mouse over a family name, a pop up will appear with the parent's names.
Type in a subject for your message and the message text and click the Send button to send your message. You will automatically receive a copy as well.
If you click the Edit button at the bottom of the Chair page, you will be taken to an edit page:
If you make your activity inactive, it will appear in italics on the Volunteer Opportunity page and no more families will be able to volunteer for it.
Make any changes you like to the status or description and click the Update button to save them.
It is sometimes useful to add some notes about your volunteers. Do do this, go to the Chair page for your activity (click the Chair tab and click on the activity). When you move the computer mouse over a family, their row will turn yellow:
Click the mouse to edit the notes for that family:
Enter in a note (e.g. "Dave volunteered") and click the update button. This will take you back the Chair page with the note added:
You can click on the family again to edit the note at any time. These notes ares useful for keeping track of which parent has volunteered or the specific way the family wants help you.
